Terms of Service
1. Acceptance of Terms
By accessing or using TalentLoom's platform, you agree to be bound by these Terms of Service. If you do not agree, you may not use our services.
2. Account Registration
You must provide accurate information when creating an account. You are responsible for maintaining the confidentiality of your account credentials and for all activities under your account.
3. Service Description
TalentLoom provides AI-powered recruiting automation, including resume screening, candidate scoring, interview scheduling, talent pipeline management, and diversity analytics. Features may vary by subscription plan.
4. Acceptable Use
You may not use our services to discriminate against candidates based on protected characteristics, circumvent employment regulations, or engage in any unlawful hiring activity.
5. Intellectual Property
Candidate data and hiring workflows created through our platform are owned by you. TalentLoom retains rights to the underlying technology, AI models, algorithms, and platform.
6. Data Privacy in Hiring
TalentLoom is designed to protect candidate privacy. We do not share candidate data between customers. Data is processed in isolated environments with strict access controls.
7. Subscription & Billing
Paid subscriptions are billed in advance on a monthly or annual basis. You authorize us to charge your payment method for applicable fees.
8. Limitation of Liability
TalentLoom Inc. is not liable for indirect, incidental, or consequential damages. Our platform provides AI-assisted screening and should not be the sole basis for hiring decisions. Our total liability is limited to fees paid in the 12 months preceding the claim.
9. Governing Law
These terms are governed by the laws of Delaware, USA. Disputes will be resolved in the courts of Delaware, USA.
Privacy Policy
1. Information We Collect
We collect account information (name, email, company details), usage data (features used, candidates processed), and technical data (browser, device, IP address) to provide and improve our services.
2. How We Use Your Data
Your data is used to deliver our services, improve AI models (using anonymized data only), provide customer support, and send service-related communications. TalentLoom never uses your candidate data to train AI models shared with other customers.
3. Data Security
We use industry-standard encryption (AES-256 at rest, TLS 1.3 in transit), SOC 2 Type II certified infrastructure, regular security audits, and strict access controls to protect your data.
4. Candidate Data Protection
All candidate data is processed in isolated environments. We maintain strict data segregation between customers. Our blind screening mode removes identifying information to reduce bias.
5. Third-Party Services
We share data only with essential service providers (cloud hosting, payment processing) under strict data processing agreements. We never share candidate data with third parties.
6. Your Rights
You may access, correct, export, or delete your personal data at any time through your account settings or by contacting dpo@talentloom.us.
7. Data Retention
Account data is retained while your subscription is active and for 90 days after cancellation. Candidate data can be exported at any time.
8. International Transfers
Data may be processed in the United States. We comply with applicable data transfer regulations including GDPR Standard Contractual Clauses.
Compliance
1. SOC 2 Type II
TalentLoom maintains SOC 2 Type II certification, verified through annual third-party audits covering security, availability, processing integrity, confidentiality, and privacy.
2. GDPR Compliance
We comply with the General Data Protection Regulation for all EU/EEA users. We offer Data Processing Agreements (DPAs) and support Standard Contractual Clauses for international data transfers.
3. EEOC Compliance
TalentLoom is designed to support EEOC-compliant hiring practices. Our blind screening mode and diversity analytics help organizations maintain fair and equitable hiring processes.

Data Processing
1. Data Controller & Processor
You (the customer) are the data controller. TalentLoom Inc. acts as the data processor, processing personal data only on your documented instructions.
2. Sub-Processors
We maintain a list of approved sub-processors. We will notify you of any changes to sub-processors at least 30 days in advance.
3. Data Breach Notification
In the event of a data breach, we will notify affected customers within 72 hours of becoming aware of the breach, in compliance with GDPR requirements.
4. Data Deletion
Upon termination of services, we will delete all personal data within 90 days unless retention is required by law. You may request earlier deletion at any time.
